How do I refund clients when I cancel a class?
Cancel a session and refund everyone booked in — all in one go.
Why Use This Feature?
When cancelling a class, you can automatically refund all booked clients at the same time. This saves you from manually refunding each one individually and ensures refunds are processed correctly based on how clients originally paid.
Step-by-Step Instructions
- Go to your Timetable and find the class you want to cancel.
- Click on the class to open the Session Details panel.
- Click the Cancel Session button.
- A pop-up window will appear confirming that:
- The session and all bookings will be cancelled.
- Clients will be automatically notified.
- In this pop-up, you’ll see a list of all booked clients with their payment method displayed.
- For each client, select whether to Refund or Do Not Refund.
- Once you’ve made your selections, click Confirm to finalise the cancellation and process refunds.
Clients who paid using a package or membership will be refunded with a session credit.
Clients who paid via card will receive a monetary refund to their original payment method.
What Happens Next
All selected clients will be refunded immediately, and the session will be removed from your timetable. Clients will receive an automatic notification about the cancellation and refund (if applicable).
Success Tip
Review the refund selections carefully before confirming. Once the session is cancelled, it can’t be undone, and refunds can’t be edited afterward.
