How do I create and manage 1-1 appointments? 

Create structured one-to-one availability blocks that automatically generate bookable time slots for your clients.

Why Use This Feature?

Appointments are designed for one-to-one services such as personal training, consultations, assessments, or private coaching sessions.

Unlike group sessions that appear as fixed classes on your timetable, appointments allow clients to choose from multiple available time slots within a set availability window.


 

Step-by-Step Instructions

To Create a New Appointment

  1. Go to Timetable.

  2. Click + Session in the top-right corner.

  3. In the Create Session module, select Appointment
    (You will see options for Normal Session, Appointment, or Virtual.)

Set Your Appointment Availability

When creating an appointment, you will configure: Date, Start Time, End Time, Appointment Length

Example:

  • Start Time: 13:00

  • End Time: 18:00

  • Appointment Length: 30 minutes

The system will automatically generate available booking slots in 30-minute intervals between 13:00 and 18:00.

In this example, 30-minute slots would be created at:
13:00, 13:30, 14:00, 14:30, 15:00, 15:30, 16:00, 16:30, 17:00, 17:30

These become the available appointment times your clients can book.

 

Repeat the Appointment Block

You can choose to repeat the full availability block:

  • Repeat across specific days (e.g., every Wednesday and Thursday)

  • Repeat weekly or monthly

  • Set a custom recurrence pattern

This allows you to quickly create ongoing 1-to-1 availability without manually rebuilding each day.

 

Complete the Appointment Details

Just like a normal session, you can configure:

  • Appointment Name (labelled as Session Name in the system)

  • Description

  • Location

  • Category

  • Visibility

  • Payment Type

  • Other standard session settings

Once configured, click Create.

 

How Appointments Appear

On Your Timetable (Admin View)

On your timetable, the appointment appears as one large availability block (e.g., 13:00–18:00).

This represents the full window within which clients can book individual time slots.

On the Client App

Clients do not see the large block.

Instead, they see individual bookable time slots (e.g., 13:00, 13:30, 14:00, etc.) and can select their preferred appointment time.

 

Public Appointment Link

You can also share appointments externally.

To access your public appointment link:

  1. Go to Settings

  2. Select System Settings

  3. Use the Public Appointments Link (second link available)

Anyone with this link can view and book available 1-to-1 appointments.


What Happens Next

  • Clients book one specific time slot within your availability window.

  • Once booked, that slot becomes unavailable to others.

  • The rest of your appointment block remains open for booking.

Appointments behave differently from group sessions — they are built for individualised, time-slot-based bookings rather than shared class capacity.


Success Tip

If you run both group classes and 1-to-1 services:

  • Use Sessions for group classes.

  • Use Appointments for personal training or consultations.

  • Share your public appointment link to allow new clients to book directly without navigating your full timetable.

This keeps your timetable organised while giving clients flexibility in booking private services.
