How can I add injury or accessibility notes to a client’s booking?

Quickly flag injuries or accessibility needs so coaches can see them directly in session bookings.

Why Use This Feature?

The Injury & Accessibility Notes feature allows admins to add short, highly visible notes to a client’s profile that will appear directly alongside their booking in a session.

This helps coaches quickly identify important information — such as injuries, recent surgeries, or accessibility needs — before or during a class.

Unlike regular client notes, these notes are highlighted and visible in the session booking list, making them easier to spot when reviewing attendees.

Important notes:

  • Injury & Accessibility Notes are limited to 64 characters.

  • These notes are only visible to admins and staff, not members.

  • This feature is separate from the PAR-Q form.


Step-by-Step Instructions

To add an Injury or Accessibility Note to a client:
  1. Go to Clients.

  2. Select the client profile you want to update.

  3. Open the Notes section.

  4. At the top of the page, locate Injury & Accessibility Notes.

  5. Enter a short note (maximum 64 characters).

  6. Changes are saved automatically.

To view Injury & Accessibility Notes during a session:
  1. Go to Timetable.

  2. Open the session the client has booked into.

  3. Navigate to the Bookings section in the session details.

  4. Locate the client in the booking list.

If the client has an injury or accessibility note, it will be displayed and highlighted beside their name.

This ensures instructors can quickly review important information before the session begins.

What Happens Next

Once added, the Injury & Accessibility Note will automatically appear whenever that client books into a session.

Coaches and staff reviewing session bookings will immediately see the note next to the client’s name, helping them adjust exercises or provide appropriate support if needed.


Success Tip

Use this section for short, high-priority information only, such as injuries or accessibility needs that instructors should be aware of during sessions. For longer internal notes or administrative details, continue using the standard client notes section.
